Your LinkXG account can have multiple users with different roles. This guide covers how to invite team members, assign roles, and manage access.

User roles

LinkXG uses four roles with different permission levels:

Inviting users

Owners and Admins can invite new users.

To invite a user

  1. Go to Account > Users
  2. Select Invite user
  3. Enter their email address
  4. Select a role
  5. Select Send invitation
The user receives an email with a link to join your account. They will need to create a password (or log in if they already have a LinkXG account).

Pending invitations

Invitations that have not been accepted appear in the pending list. You can:
  • Resend — Send another invitation email
  • Revoke — Cancel the invitation before it is accepted
Invitations expire after 7 days. After expiry, you need to send a new invitation.

Changing roles

Owners and Admins can change the role of any user except the Owner.

To change a role

  1. Go to Account > Users
  2. Find the user
  3. Select the role dropdown
  4. Choose the new role
The change takes effect immediately. The user may need to refresh their browser to see updated permissions.

Transferring ownership

The Owner role cannot be changed through the normal interface. To transfer ownership to another user:
  1. Contact support with your request
  2. The current Owner must confirm via email
  3. Support processes the transfer
The new Owner must already be a user on the account.

Removing users

Owners and Admins can remove users from the account.

To remove a user

  1. Go to Account > Users
  2. Find the user
  3. Select Remove
  4. Confirm the action
Removed users immediately lose access. Their past actions (audit trail) remain on record.

What happens to their work

When a user is removed:
  • Products they created remain in your portfolio
  • Connections they established remain active
  • Audit records of their actions are preserved

User limits

Your subscription tier determines how many users you can have:

If you reach your limit, you must upgrade or remove existing users before inviting new ones.

Multi-tenant users

A person can belong to multiple LinkXG accounts if they work with multiple companies. Each account is completely separate:
  • Different credentials are not required (same email works)
  • They select which account to use when logging in
  • Data is isolated between accounts
  • Roles may differ between accounts
This is common for consultants or people who work with multiple organisations.

Security considerations

Review access regularly

Periodically review who has access to your account. Remove users who no longer need access, such as former employees or completed contractors.

Use appropriate roles

Assign the minimum role needed for each person’s job:
  • Use Viewer for stakeholders who only need to see data
  • Use User for team members who create and edit products
  • Use Admin sparingly for people who need to manage the account
  • Keep Owner as the person responsible for billing and ultimate accountability

Audit trail

All user actions are logged. Go to Account > Audit log to see who did what and when. This helps with compliance and investigating issues.

Common questions

Can I have multiple Owners? No. Each account has exactly one Owner. If you need shared billing responsibility, consider having the Owner be a shared or role-based email address. What if the Owner leaves the company? Contact support to transfer ownership. You will need to verify your authority to request the transfer. Can I invite users from outside my company? Yes. Anyone with an email address can be invited. They will see your company’s data according to their role. Use this carefully — external users should typically have limited roles. Can a user belong to competitor companies? Technically yes, but you control what they see in your account. Consider whether inviting someone who works with competitors poses a risk for your data.
